How to Add or Edit Inventory Count

Managing inventory efficiently is key to smooth operations and a great customer experience. With the new inventory update integrated into the Point of Sale (POS) system, you now have more control over stock management, making it easier to track inventory, prevent overselling, and reduce waste.

Enabling Inventory Item Counts on the POS

The Inventory Item Counts feature is a powerful tool that allows you to track and manage the availability of your products directly from the POS. To activate this feature, simply follow these steps:

  1. Navigate to the Inventory tab > tap on the Food category to manage food-related inventory items.
  2. Tap the gear icon in the top right corner of the screen

(Note: This icon will only appear if the settings have been enabled beforehand. If it's not visible, ensure the settings are configured to allow this option).

  1. Look for the option labeled Item Quantity Tracking and toggle it to ON.

  1. Save Once enabled, your POS will now display real-time inventory counts for each item in the category, helping your staff stay up-to-date.

Out-of-Stock Management: Automatically Update Inventory

The update ensures that inventory is automatically updated when an item is sold. This eliminates manual stock adjustments and reduces errors. If an item’s stock reaches zero, it will be marked as out of stock in real-time.

Additionally, if a customer tries to order more items than are available, a pop-up alert will notify them, and the excess items will be greyed out, preventing checkout. This enhancement ensures that customers only order what is available, preventing disappointment and improving the overall shopping experience.

Tracking Inventory Quantities: View and Edit Quantities

The Inventory Item Counts feature provides visual indicators for current stock levels, and you can edit quantities directly from the POS. There are two types of inventory counts:

  • Original Quantity: This refers to the initial inventory count entered at the start of the day.
  • Current Quantity: This reflects the real-time count of items after sales and other adjustments.

This flexibility ensures that your inventory records are always up-to-date and accurately reflect the actual stock available.

Daily Auto Reset for Inventory Counts

For businesses that need to manually track inventory, the Daily Auto Reset feature is a valuable addition as it automatically resets the inventory count to zero each day. From there, baristas or managers can manually enter the current stock levels based on a physical count.


Note: The auto-reset feature is only available when editing inventory, helping to maintain accuracy and minimize discrepancies.
